<p>Considering the importance of cash flow, I’m often surprised by just how many small business owners approach the subject in a somewhat careless fashion.</p>
<p>It’s not uncommon to find such business owners with their eyes firmly glued to sales statistics as they walk their company right off a cliff.</p>
<p>Should you find yourself with a cash flow problem that’s beginning to look more and more serious, here are eight simple tips for solving the problem before it’s too late.</p>
<h4>Put Your Foot Down</h4>
<p>First off, we need to deal with the primary cause of your cash flow problems, and unfortunately, that’s you. While late paying customers and clients are certainly at fault, and we’ll deal with them shortly, they’re only paying late because you’re allowing them to do so. It’s easy to blame your customers and clients but unfortunately, they aren’t going to start behaving any differently until you put your foot down.</p>
<h4>Get Your Invoicing in Order</h4>
<p><a href="http://www.flickr.com/photos/28477990@N03/4705988408"><img class="alignright" alt="" src="http://farm5.static.flickr.com/4041/4705988408_cf9faf239d.jpg" width="180" height="135" /></a>If you want your customers to start paying you faster, the first step is to start sending out invoices faster. This might sound obvious, but inefficient invoicing procedures are a surprisingly common sight in the small business world. If you’re not already doing so, set aside a certain amount of time each week for making sure that all invoices are being sent out on time. Late invoices don’t just delay payments, they give the impression that delayed payment is acceptable.</p>
<h4>Include Clear Due Dates</h4>
<p>Speaking of giving customers the wrong impression about your credit policy, all of your invoices should include a clear due date. Fail to do so and you are basically telling your customers that they are free to pay you in their own time. Some small business owners shy away from including due dates, but the reality is that there’s absolutely nothing wrong with demanding that you get paid on time.</p>

<p>No business owner likes to lose customers but it’s important to differentiate between customers that are good for your business i.e. those that pay on time, and those who are regularly putting your business in jeopardy by paying late. While giving such customers a final warning is very much recommended, if they continue to overindulge in your credit policies, it’s time to cut them lose. No customer is worth cash flow problems.</p>
<h4>Offer a Discount for Early Payment</h4>

<p>If your cash flow is in serious trouble, don’t be afraid to offer your customers a small discount in return for early payment. You can easily provide such an incentive by offering a discount of as little as five percent.</p>
<h4>Manage Stock More Efficiently</h4>
<p>Another mistake that can wreak havoc with just about any businesses cash flow is inefficient stock management. Ordering too much stock doesn’t just hurt you in terms of increased storage costs, it leads to more of your cash flow being tied up unnecessarily. Take a long hard look at your daily sales figures and make sure that your stock levels are in line with them.</p>

<p>Moving the GETS to a Government of Canada website on Buyandsell.gc.ca/tenders will benefit both suppliers and government buyers. The authoritative site on federal government procurement will offer:</p>

<li>Access tender opportunities at no cost using plain language to match a good or service to available tenders.</li>
<li>Narrow down search results to find tender opportunities by region, good and service identification number (GSIN), department and more.</li>
<li>Find related standing offers and supply arrangements and previous contracts for any tender opportunity.</li>
<li>Use a third-party feed reader and follow any opportunity or GSIN to stay on top of new opportunities or amendments.</li>
</ul>
<h5>Benefits for government buyers…</h5>
<ul>
<li>Ease of publishing – Buyers outside of Acquisitions will create notices and publish tender documents using a new and friendly Tender Management Application (TMA) available on Buyandsell.gc.ca/tenders.</li>
<li>Control over publishing – Buyers can publish tender documents instantly or at a preferred future date and time.</li>
<li>Enhanced quality assurance – Procurement organizations will review and publish tenders directly, ensuring the quality and accuracy of their solicitation documents.</li>

<p>&#8220;Public Works and Government Services Canada (PWGSC) is leveraging digital technology to support suppliers and government buyers with a single-window access to federal procurement information that is based on open data”, says PWGSC’s Assistant Deputy Minister of Acquisitions, Tom Ring. “This means that suppliers and government buyers will be able to use the value-added context of Buyandsell.gc.ca/tenders to promote collaboration and innovative ways of working together.”</p>

				<content:encoded><![CDATA[<p>There are many challenges for small businesses, and one that is often overlooked is internal communication between employees and managers. However, positive internal communication can create a stronger sales force and happier employees. Check out six ways small businesses can improve communication among employees.</p>
<h4>Meet in Person</h4>
<p>There are few employees who will willingly ask for more meetings. Although constant meetings can be a hindrance, it’s a good idea to meet as a group or one-on-one with your employees to encourage the most efficient communication for the company. Teleconferencing and email meetings are missing one big thing: body language. In-person meetings let you and your employees make eye contact and see body language, which can help you communicate more effectively. Meetings should have an agenda, even if it’s informal. Create a list of the topics you’d like to discuss and share them ahead of time. Set the stage for your in-person meeting by sharing a brief overview of your agenda, and keep off-topic discussion to a minimum. Time is valuable, and keeping an in-person meeting brief and productive can help employees be less distracted, feel more at ease and facilitate more open communication within your company.</p>
<h4>Make a Group Effort</h4>
<p>It’s human nature to give the benefit of the doubt to those who you genuinely like, so building personal relationships with coworkers or employees is almost as important as building professional ones. Schedule team lunches, team building exercises or after-hours events to help employees connect with managers and with one another on a personal level. It’s also important to encourage a group of employees to work like a group. Ask for group feedback on projects to make group members feel like they are being heard and that their feedback is welcomed.</p>
<h4>Use Open Body Language</h4>
<p>Body language says almost as much as language, and can be a motivator or a deterrent for positive, effective communication.  Managers should be aware of their body language when speaking with individuals and groups. Make eye contact with employees, and refrain from crossing your arms. Smile and lean forward while you’re talking, which shows a higher level of comfort. Watch the body language during meetings or while employees are working; employees who are standing with arms crossed or avoiding eye contact may be unhappy or displeased with the communication being put forth, and seeing these signs can help turn it around quickly.</p>
<h4>Learn How Employees Communicate</h4>
<p>Each employee is unique and wants to communicate, and be communicated with, in different ways. Some prefer email, while others prefer the phone. One employee might be able to work without much feedback, and another might want lots of positive reinforcement. Learn what motivates employees and tailor communication to each of them. Communication preference can be influenced by a variety of factors &#8212; age, culture, experience – but the best way to determine how an employee communicates is to watch, engage and listen. Ask questions and really listen to the answers. Observe how quickly he or she responds to an email, how they use body language, if they are direct or would rather sit back and listen. All these things can help you learn how employees communicate with you and coach them to work more effectively with each other.</p>
<h4>Make Your Expectations Clear</h4>
<p>Some of the biggest factors in miscommunication are unclear expectations. Employees need to know what to expect from an organization, company or manager and what the company or manager expects from them. Periodically, outline a set of professional goals for employees – a working document of what you expect from employees. Managers should also be clear on administrative expectations, too. If are a procedures for calling in sick, submitting work, tracking time or scheduling off-site meetings, managers or administrative staff should create a document outlining them. Communicate any changes in goals, strategy or company direction immediately and revise your expectations clearly.</p>
<h4>Embrace Technology</h4>
<p>Although technology is not for everyone, it can make communication much more effective. For instance, an instant message system allows employees to send quick updates or messages even more quickly than he or she could pick up the phone and call. This is a perfect solution to employees scattered around the town or country. Content management systems can also be a helpful way to track projects and time – try a site like Asana or Freckle to streamline administrative tasks for your company.</p>

				<content:encoded><![CDATA[<p>Want to improve you networking ROI? If you’re less than satisfied with your results from networking, it could be that you’re focusing too much on getting clients and missing out on leveraging the connections. Want to find out how to make your networking truly profitable? Read on to discover my favorite approach to making networking pay &#8211; the C.A.S.H. method to networking success.</p>
<p><strong>So what’s my networking C.A.S.H. method?</strong></p>
<p>It&#8217;s not at all about selling, yet if you apply it, you’ll end up with many more contacts, prospects and referrals from your networking efforts than you ever thought possible.</p>
<p>Here are the four steps…</p>
<h4>C = Connect</h4>
<p>Networking is all about making connections, not just contacts. Coming away with a pocketful of business cards without having had a meaningful conversation with the owner of each of those cards is well&#8230; pretty much worthless, unless you’re into spamming them later.</p>
<p>Focus instead on establishing fewer but more meaningful relationships and developing your Know, Like, Trust quotient. Yes, I said “fewer.&#8221; I have to admit that this one lesson has greatly improved both my personal enjoyment from networking AND positively impacted my results.</p>
<p>I found that by focusing on not just meeting people, but getting to know more about them and their business by asking questions and listening (and remember what was said) allowed me to make better connections and be of service more often.</p>
<p>One of my favorite connection tips is &#8211; “be curious and seek to be impressed by everyone you meet”</p>
<h4>A = Ask</h4>
<p>Ask for what? For help… perhaps an introduction, resource or contact – basically whatever you most need. Consider this as “working the net” not just networking. This is where you get the greatest ROI for your time.</p>
<p>Now you may be thinking “Whoa… wait a minute, networking isn’t about selling!” And you’d be absolutely correct. I’m not suggesting you launch your sales pitch and start asking the person in front of you for business. That would eliminate your opportunity to make a meaningful connection and make them feel like running in the other direction.</p>
<p>The kind of asking I have in mind is a lot more subtle. Even if a new client is what you really want, the distinction is that you’re not asking ‘them’ to be a client but rather asking if they could introduce you to anyone they know who may value your services.</p>
<p>One of my clients was trying to get into a specific company, so I suggested that he ask people while networking if they know anyone who worked there. The evening before his coaching session while cutting his lawn, he realized that he hadn’t done this. Knowing that I’d bring it up, he wandered over to his neighbor and struck up a conversation over the fence, eventually getting around to asking.</p>
<p>And miraculously, his neighbor said, &#8220;Oh, I play golf with CEO every week.&#8221; My client ended up with an amazing introduction – one that he never would have received if he hadn&#8217;t asked.</p>
<p>Keep in mind: you just never know who knows whom, and if you don’t ask, you don’t get. Imagine how many outstanding connections may have slipped through your fingers because you failed to ask…</p>
<p>And finally, spread the love… make sure to offer help and ask people you’re networking with whom they want to meet or what resources they’re looking for.</p>
<h4>S = Skills</h4>
<p>To really leverage your networking, you need great skills. Which starts with having a compelling answer to the all-time favorite “What do you do?” question. Although tempting, don’t reply with just your title or label, for example, “I’m a mortgage broker.” Instead, create a simple sentence that sums up who are your best clients, and what problems your products or services solve.</p>
<p>An example of mine is, “I help marketing challenged entrepreneurs get more clients faster.” By having a benefit driven answer, I get far more engaged conversations started than if I simply said, “I’m a business coach.”</p>
<p>Another key skill is mastering the conversation. Coming prepared with a few conversation starter questions will go a long way to standing out and being positively remembered. Make sure to listen, and people will love to talk with you.<br />
And finally, always follow up! This is probably where most people lose out. Making a great connection at the event isn’t enough. The fortune is in the follow up – or as I like to say, “Follow up or you’ll foul up!”</p>
<h4>H = Help</h4>
<p>Here’s a simple twist to help you keep your focus off of prospecting and selling. Instead of hunting for prospects, shift your focus and seek out potential referral partners. To do that, make an effort to meet and connect with people who share the same target market without being in competition with you. For example, if you’re an HR consultant for small businesses, you could collaborate well with accountants, bookkeepers, business coaches, social media consultants, lawyers etc. These are all businesses that your target clients most likely also use.</p>
<p>The goal is that you’ll both refer prospects and clients to each other, and benefit greatly from the referral relationship.</p>
<p>So that&#8217;s the C.A.S.H. system of networking. Make meaningful connections, always have something to “Ask” for and make sure to offer help to really ‘work the net.’ You never know who knows whom.</p>
<p>Work at honing your networking skills and have a compelling networking introduction. And finally, always be on the lookout for potential referral partner relationships where you can &#8220;Help&#8221; each other.</p>

				<content:encoded><![CDATA[<p>Improving your productivity can have many benefits – if you&#8217;re employed it can help you secure that promotion you&#8217;ve been chasing, if you own a business it can boost your profits. But improving productivity is easier said than done. Read on to discover five tips that will make your working-life more efficient.</p>
<h4>1 – Avoid meetings where possible</h4>
<p>Meetings, if they&#8217;re not handled properly, can be a real drain on your time. It&#8217;s not a case of turning down every meeting, but you need to be selective about which ones you attend. Getting together with a prospective client? Great! Spending an hour deciding what colour the office&#8217;s new carpet should be? Not so great.</p>
<p>Whenever someone proposes a meeting, ask yourself if you really need to be in it. If the answer is no, don&#8217;t be afraid to politely explain why you don&#8217;t want to attend. A lot of what goes on in meetings can be thrashed out in emails or during informal chats.</p>
<p>If a meeting is required, make sure there&#8217;s a plan and that it&#8217;s strictly observed.</p>
<h4>2 – Use the cloud to get organized</h4>
<p>There are plenty of cloud-based services out there which you can use to better organize your time. Trello is a project-management orientated noticeboard, which allows people to be assigned tasks. This comes in handy if you&#8217;re collaborating with a number of people working towards a single goal.</p>
<p>Even something as simple as Google Drive can be used to help keep track of what you need to be doing and when you should be doing it. Good time management is key to staying productive.</p>
<h4>3 – Master your inbox</h4>
<p>Dealing with emails can be a time consuming process, so it&#8217;s worth spending a bit of time getting to grips with your inbox in a structured manner.</p>
<p>Firstly, take some time to think about the kinds of email you send. If you cut down the number of pointless email you&#8217;re sending out, you&#8217;ll see a fall in the number of pointless replies you get. It&#8217;s a hard rule to stick to, but you should only send emails when it&#8217;s strictly necessary.</p>
<p>In an ideal world, you&#8217;d only ever send emails with attachments but obviously that isn&#8217;t possible.<br />
Here are a few tips to help cut down the number of emails you send:</p>
<p><strong>Never email someone you could physically talk to</strong> – the back and forth nature of email makes it more time consuming than a quick chat. If you can walk over to someone&#8217;s desk or even just pick up the phone, it will send you time.</p>
<p><strong>Try to avoid emails which lack substance</strong> – Saying &#8220;thanks&#8221; is polite, but if that&#8217;s all you&#8217;re sending in your email is it really worth your while? Avoid sending one-word emails unless you really have to.</p>
<p><strong>Only send a response if one is warranted</strong> – Don&#8217;t feel you have to reply to an email. If it&#8217;s not worth your time, just ignore it. If it does warrant a response, you should, as always, consider whether an email is the best way to handle things.</p>
<p>Other tactics for keeping your inbox under control include setting aside an hour a day to handle emails, ensuring your email address is only available to those who need it and setting up filters so your messages are pre-sorted for you.</p>
<h4>4 – Understand how you procrastinate</h4>
<p>Maybe you watch too much TV, or perhaps you&#8217;re a social networking addict. If you can identify the things you do when you should be working, then you&#8217;re one step closer to solving your procrastination problems.</p>
<p>If you&#8217;ve gone cold turkey and it hasn&#8217;t worked, try turning your preferred method of idling into a reward. If you complete everything on your to-do list for a given day, you get to watch X amount of TV, for example. This is a great way to help you get stuck into those personal projects you&#8217;re forever putting off.</p>
<h4>5 – Understand your goals</h4>
<p>If you don&#8217;t know what you&#8217;re trying to achieve with any given project, then you&#8217;re probably going to waste a lot of time. If you&#8217;re not working towards a set goal, the chances are you aren&#8217;t working.</p>
<p>Goals don&#8217;t have to be massive, in fact it&#8217;s often better if they&#8217;re not. Just make sure you understand what you&#8217;re supposed to achieve and how you&#8217;re going to go about meeting your target. If you can&#8217;t do that, you&#8217;re just tilting at windmills.</p>
